DISTRICT PUBLIC RELATIONS
*EDITOR IN CHIEF for News You Can Use: Oversee the publication. Ensure each issue is released on time – twice a month. Work with LaTrice who oversees writers, proofreaders on content. Work with Sr. Team Leader on additional material you might need. Time: 4 hours a week and then every other week need additional 3-4 hours before publishing.
- GHOSTWRITERS: Writes material for the District Trio. Time: write an article 2x’s a month for District Trio
- PROOFREADERS: Detects and corrects errors of text, spelling, grammar, font sizing, etc. before publication is distributed. Time: Proofreading one to two articles every other week.
*PROJECT MANAGER for News Releases: Oversees the process of writing and editing press releases for District 44 in a timely manner. Works with writers and proofreaders on news release development. Oversee distribution. Forms contacts with AJC and other publications that are west of I-85. Time: 8 hours a month.
- PR WRITERS: Writes content effective for promotion and public relations to send to media (newspapers, articles, press releases). Time: Write 1-2 press releases per month.
- PROOFREADERS: Detects and corrects errors of text, spelling, grammar, font sizing, etc. before publication is distributed. Time: Proofreading 1-2 press releases or PR materials per month
*PROJECT MANAGER for Constant Contact: Oversee the loading of member names/email/etc. from Toastmasters International in a CSV file into Constant Contact. Work with District leaders as to the categories they might need. Keep our Trio up-to-date on results of emails/campaigns/surveys. Time required: Twice-a-year copy the CSV file from Toastmasters International to Constant Contact D44 Master List. When new clubs are formed you will copy and paste their information to Constant Contact. Quarterly update (copy and paste) email list of club officers, TLI list, Conference attendees list, and any other list the District Trio might need.
*PROJECT MANAGER for Meetup: Twice a year lead a team to match District 44 club information on Meetup to that of Toastmasters International (estimate team of 3 will take 4 hours max). Add newly formed clubs to Meetup (1 hour) per month. Make changes of the name/contact information of club VPPR & President as changes occur (usually once a year after elections). Send messages to clubs when there is a discrepancy. Also, notify PRM team of activity. Recommend you have 2 other people on your team.
*PROJECT MANAGER Spring Conference: Oversees coordination of public relation needs with the conference team and the District Program Quality Director. Co-ordinates with PRM senior team with deadlines and help with Public Relation so that there is a coordinated effort and consistent messaging. Time:1-2 hours per week – more time as you get closer to the conference. Also, schedule time to attend conference calls and kick-off meeting)
o WEB Coordinator – responsible for designing and modifying the Conference part of our website, from layout to function and according to the Toastmasters International Brand Manual. Time: 1-2 hours a week, more time required as you get closer to the conference
o WRITERS – content for Conference website. Time: 1-2 hours per week, possibly more as you get closer to the conference
* PROJECT MANAGER for TLI: Oversees coordination of public relation needs with the District Program Quality Director and the TLI team. Co-ordinates with PRM senior team with deadlines and help with Public Relation so that there is a coordinated effort and consistent messaging. Time: 1-2 hours per week – more time as you get closer to the conference.
o WRITERS – content for TLI ads, promotions, social media, D44 website. Time 2-3 hours per week, more time as you get closer to TLI
*TOASTMASTER MAGAZINE: Overseas the writing and submission to Toastmasters Magazine article/photos each month. Time:
*D44 TALK RADIO
- DIGITAL IMAGING: manage digital and media direction that represents the show, i.e. logos, flyers, websites, etc. any digital material or print media. Coordinate with D44 Radio Producer/Director for consistent messaging with Talk Radio and District 44.
- MEDIA/MARKETING: broadcasting experience and will assist with creating media/marketing campaigns to build awareness. Will review the analytics in Blog Talk Radio and coordinate efforts to develop and launch promotional campaigns. Co-ordinate with Talk Radio Social Media Manager as well as with D44 Talk Radio Producer/Director for consistent messaging within District 44.
- VOICE OVER: Off-stage commentary is provided a weekly script to make announcements that inform, inspire and entertain our audience during the weekly show.
GPB TV
*VOLUNTEER PROJECT MANAGER: Co-ordinate with GBTV and overseas the scheduling of volunteers. Time: You will need to meet with GPB-TV (2-3 hours). You will also need to be at the studio with your volunteers on the day of the show (8-9 hours). The rest of your time is spent coordinating with volunteers via phone and email.
*VOLUNTEERS: Attends the event, helps with phone calls and may be called upon to say a few words during the broadcast. Time: 3-4 hour time slots or you may want to be there for 8 hours)
